1 About this policy

This Privacy Policy explains how Cherry Socials Ltd collects, uses, shares, stores and protects personal data when you use the NEUVIE mobile application, participate in a NEUVIE event, contact us, or otherwise use services connected with NEUVIE. In this policy, NEUVIE and its related services are referred to as the App or the Services.

Cherry Socials Ltd is the controller responsible for personal data processed through NEUVIE.

Controller: Cherry Socials Ltd

Company number: 14904075

Registered office: 2 Priory Road, Portbury, BS20 7TH , United Kingdom

Privacy contact: geraldine@neuvie.co.uk

2 Age eligibility

NEUVIE is not intended for children under 13. You must be at least 13 years old to create an account or use the App. If you are under 18, you must have permission and supervision from a parent or legal guardian before using NEUVIE, participating in a live event, connecting another service, or purchasing a subscription.

We do not request a date of birth or independently verify every user’s age. If we learn that an account belongs to someone under 13, we may close the account and take reasonable steps to delete the associated personal data. A parent or guardian who believes a child under 13 has used NEUVIE should contact us.

Purchase and subscription information

Apple, Google and RevenueCat process in-app purchases. NEUVIE may receive and store subscription product, package, status, start and end dates, trial status, transaction identifier, payment platform, amount and currency. We do not receive or store full payment-card numbers, CVVs or card expiry dates.

Photos and media

If you choose to add a profile picture, the App may request access to your camera or photo library so you can take or select the image. We process the image you choose to provide. You can refuse or withdraw the relevant device permission, although the profile-picture feature may then be unavailable.

Location and advertising data

NEUVIE does not request or collect precise GPS or background location. We do not use advertising identifiers, advertising networks or personal data for third-party targeted advertising. A country may sometimes be inferred from information you provide, such as an international telephone number, but NEUVIE does not use this to track your physical movements.

4 Information that may reveal health or other sensitive matters

NEUVIE does not require a diagnosis or medical history. However, PDA mode, task descriptions, notes, quiz responses, AI prompts or other information you voluntarily provide may reveal information about ADHD, neurodivergence, physical or mental health, relationships or other sensitive circumstances.

When you deliberately enable a feature or submit information that reveals sensitive information, we process it only to provide the feature or service you requested. Where data-protection law requires explicit consent, your affirmative choice to enable the feature or submit the information provides that consent. You may withdraw consent by disabling the relevant optional feature where available, deleting the information or contacting us. Withdrawal does not affect processing that was lawful before withdrawal.

Do not use NEUVIE as a medical record or enter emergency, irreplaceable or unnecessary sensitive information. Avoid including personal data about another person unless you have permission and a lawful reason to do so.

5 How and why we use personal data

Where we rely on legitimate interests, we consider whether the processing is necessary and proportionate and whether your rights override our interests. Where we rely on consent, you may withdraw it at any time.

6 AI-assisted features

NEUVIE uses OpenAI’s application programming interface to provide task breakdowns, suggested subtasks, categorisation and estimated-time suggestions. When you choose to use an AI feature, relevant task titles, descriptions, prompts and category information are transmitted securely to OpenAI for processing. NEUVIE does not intentionally add your name, telephone number or account identifier to the request, although information you type into free-text fields will be included if it forms part of the prompt.

OpenAI processes this information to return the requested output and for limited service-security, abuse-prevention and legal purposes in accordance with its applicable business terms and privacy arrangements. Information may be processed outside the United Kingdom subject to the safeguards described below.

AI output may be inaccurate, incomplete, unsuitable or similar to output provided to others. Review it before relying on it. Do not include passwords, payment information, confidential information about another person, emergency information or anything that should form part of an official medical record.

NEUVIE does not use AI to make solely automated decisions that produce legal or similarly significant effects about you.

7 Google Calendar

Google Calendar connection is optional. If you choose to connect a Google account, NEUVIE requests permission to create and manage calendar events so that selected NEUVIE tasks can be synchronised to your chosen calendar.

The App may send a task’s title, notes or description, start date and time, and end or due date and time to Google Calendar. NEUVIE can create, update and delete calendar events for the synchronisation feature. NEUVIE does not import your existing Google Calendar events into the NEUVIE task database for this feature.

Google access information is stored on your device while the connection remains active. You can disconnect Google Calendar in NEUVIE’s settings. Disconnecting clears the local connection and stops future synchronisation, but events already created in Google Calendar remain there for you to manage unless you delete them through Google Calendar.

Google processes calendar information under its own privacy policy. NEUVIE’s use of information received from Google APIs is limited to providing the user-facing calendar feature and is subject to the Google API Services User Data Policy, including its Limited Use requirements.

8 Notifications

With device permission, NEUVIE uses Firebase Cloud Messaging, Apple Push Notification service and on-device notification technology to deliver reminders, task-timer alerts, dopamine prompts, event notices and service messages. The information used may include a device token, notification title and body, sound settings and identifiers needed to open the relevant App content.

You can manage notification permission through your device settings. Logging out or deleting your account disassociates the active device token from your account.

9 Course videos and events

Prerecorded course videos are hosted on NEUVIE’s own server and streamed to the App. The service necessarily processes connection information such as IP address, device request information and the requested media URL to deliver the video.

Live events are accessed through external links that may lead to Google Meet, Zoom or another named event platform. There is no embedded Google Meet or Zoom integration in NEUVIE. Once you follow an external link, the event provider processes your information under its own privacy terms.

Live body-doubling sessions organised by NEUVIE will not be recorded by us. Some workshops may be recorded. We will notify participants before recording begins and explain the intended use. Replays may be made available to eligible users for seven days. Participants who do not wish to appear should keep their camera and microphone off and avoid identifiable contributions after recording begins.

Promotional material created from workshop recordings will feature the speaker or host. We will seek separate permission before intentionally using an attendee’s identifiable image, voice, name, testimonial or contribution for promotional purposes.

10 Who receives personal data

We do not sell personal data and do not share it with third parties for their own targeted advertising.

Depending on the features you use, personal data may be processed by:

·       our hosting, database, file-storage and email infrastructure providers;

·       authorised technical developers and support providers acting for Cherry Socials Ltd;

·       OpenAI for user-requested AI functionality;

·       Google for optional sign-in, Google Calendar and Google Meet;

·       Firebase Cloud Messaging and Apple Push Notification service for notifications;

·       RevenueCat, Apple App Store and Google Play for subscriptions and purchase validation;

·       Zoom or another event provider when you follow an external event link;

·       professional legal, accounting, insurance, security and technical advisers; and

·       public authorities, courts or regulators where disclosure is required by law.

A reward partner does not receive your NEUVIE account information merely because its offer appears in the App. If you visit or redeem an offer through a partner’s service, that partner processes the information you provide under its own privacy policy.

We may transfer relevant information as part of a sale, financing, restructuring or transfer of all or part of the NEUVIE business, subject to appropriate confidentiality and data-protection safeguards.

11 International processing

Some providers and authorised technical personnel may process personal data outside the United Kingdom, including in the United States and other countries in which our providers or contractors operate. These countries may have different data-protection laws.

Where UK law requires a transfer safeguard, we rely on an applicable adequacy regulation, the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or another legally recognised safeguard. You may contact us for more information about safeguards relevant to your data.

12 Retention and deletion

We keep personal data only for as long as reasonably necessary for the purposes described in this policy, including providing the Services, meeting legal and accounting duties, maintaining security and resolving disputes.

·       Account information, tasks, subtasks, notes, habits, PDA settings, reward activity, course progress and quiz responses are generally retained while your account remains active.

·       Device and push-notification records are retained while the device remains linked and are removed when the relevant device is logged out or the account is deleted.

·       Subscription and transaction records may be retained for up to six years after the relevant accounting period or for longer where law or an active dispute requires it.

·       Operational, security and error logs are rotated and retained only for as long as reasonably necessary for security, troubleshooting and legal purposes.

·       Database backups may remain in protected backup snapshots for up to 90 days before being overwritten in the ordinary backup cycle.

·       Workshop replay access normally ends seven days after the event. The source recording may be retained for administration, evidential or approved content purposes and will be deleted when no longer reasonably required.

·       Information may be retained for longer where necessary to comply with law, prevent fraud, investigate misuse, resolve a dispute or establish or defend legal claims.

Account deletion

You can initiate account deletion through Account, Settings, Delete Account in NEUVIE, or contact geraldine@neuvie.co.uk if you cannot access the App. Deleting the App from your device does not delete your account.

When deletion is processed, access is disabled, active authentication tokens are revoked and linked push-notification records are removed. Account and associated records are placed into the deletion process and removed or anonymised when no longer required, subject to legal retention, security records and the backup cycle described above.

Deleting a NEUVIE account does not automatically cancel an Apple App Store or Google Play subscription. You must cancel the subscription separately through the relevant store settings.

13 Security

We use technical and organisational measures designed to protect personal data. These include HTTPS encryption in transit, hashed passwords, authenticated access tokens, input validation, parameterised database access, restricted server access, file permissions and controlled technical access.

No service, transmission method or storage system can be guaranteed completely secure. You are responsible for protecting your password and device. Contact us promptly if you believe your account has been compromised.

14 Your rights

Depending on the circumstances and the law that applies, you may have the right to:

·       request access to personal data we hold about you;

·       ask us to correct inaccurate or incomplete data;

·       ask us to delete personal data;

·       restrict or object to certain processing;

·       receive certain information in a portable format;

·       withdraw consent at any time; and

·       complain to a data-protection regulator.

These rights are not absolute and may be subject to legal exceptions. To exercise a right, email geraldine@neuvie.co.uk. We may request information needed to verify your identity and will normally respond within one month, subject to lawful extensions.

In the United Kingdom, you may complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or by calling 0303 123 1113. We would appreciate an opportunity to address your concern first, but you are not required to contact us before complaining to the ICO.

15 Additional rights in other regions

Residents of certain countries or US states may have additional privacy rights, including rights to know, access, correct or delete personal information and to opt out of certain sales, sharing or targeted advertising. NEUVIE does not sell personal information or use it for third-party targeted advertising. You may contact us to make an applicable request. We will not discriminate against you for exercising a privacy right.

16 Changes to this policy

We may update this policy to reflect changes to NEUVIE, our providers or applicable law. We will publish the updated version and revise the last-updated date. Where a change materially affects your rights or how we use personal data, we will provide additional notice through the App or another appropriate method.

NEUVIE was created because traditional productivity tools weren’t designed for brains like ours. Even apps designed for people with ADHD don't tackle our main difficulty: getting started.

For people with ADHD,  writing a list, setting a deadline or trying harder doesn't simply enable us to get started. We can know exactly what needs to be done and still feel stuck.

Sometimes all we know, is that we have a million different things to do but they all feel equally important and urgent, which makes us be unable to assign priorities or know where to start.

NEUVIE's founder, Geraldine Kostrewa has ADHD and Autism herself. As an ADHD coach, Speech and Language Therapist and neurodivergent creator, she has helped millions of people better understand their brains - and has spent years developing practical strategies that work with our brains and busy brains, rather than against it.

NEUVIE brings those strategies together in one supportive space using proven neuroscience. From making tasks feel less overwhelming and tricking our interest based brains into getting started with the tasks we need to get done, to accountability, emotional regulation and encouragement along the way. Every feature is designed to help neurodivergent make life a little more managable and happier.

This isn’t another productivity app asking you to become more disciplined.

It’s a new way of getting things done - one that starts by understanding your brain.

You were never lazy, broken or failing.

You just needed tools designed with you in mind.
